Duties:
The Client Service & Administrative Assistant will play an important role in the day-to-day operation of our Kenora office, providing administrative support to our financial planning team while delivering a high level of service to our clients.
Key Responsibilities
- Manage incoming phone calls, emails, appointments, and general client inquiries
- Schedule and prepare for client meetings, including gathering required documents and information
- Complete and process client paperwork, account documentation, transactions, and other administrative requests
- Follow up with clients for outstanding documents, signatures, and information
- Maintain accurate and organized client records and ensure files remain up to date
- Assist with the preparation of reports, forms, presentations, and other client materials
- Coordinate with our team and head office to ensure client requests are completed accurately and on time
- Track outstanding tasks and proactively follow up to ensure nothing falls through the cracks
- Greet clients and help maintain a professional, welcoming, and organized office environment
- Handle confidential personal and financial information with a high degree of discretion and professionalism
- Provide additional administrative and operational support to the advisory team as required

Qualifications:
The ideal candidate will be highly organized, dependable, detail-oriented, and comfortable managing multiple priorities. They should be confident communicating with clients, take initiative, and be able to work both independently and as part of a team.
Previous experience in financial services or an administrative role is an asset but is not required. We are willing to train the right person who demonstrates the attitude, professionalism, and attention to detail we’re looking for.
