Shoal Lake 40 First Nation is seeking a qualified and dedicated individual for the position of School Secretary at the Harvey Redsky Memorial School. Classrooms consist of Junior Kindergarten through Grade 8, with a staff complement of twenty-two (22). The position requires strong administrative skill sets and organizational support to ensure effective day-to-day operations. This role manages documentation, communications, meeting coordination, and compliance-related processes.

  • Coordinate and manage the organization’s correspondence, reports, and official documentation.
  • Organize and schedule staff meetings, including agendas, minutes, and follow-up actions.
  • Maintain accurate records of decisions, student and staff attendance, and action items.
  • Prepare summaries for the school principal and ensuring timely submission.
  • Support communication between staff, members, and external stakeholders.
  • Manage administrative processes related to filings, renewals, documentations, e.g. Ontario
  • Student Records (OSR), Personnel Files, and maintaining business records and forms.
  • Oversee document control and ensure confidentiality and proper recordkeeping.
  • Support event planning/logistics as assigned.
  • Perform other duties as required by the School Principal.
  • Be willing to train and travel.
  • Ability to speak or understand the Ojibwe Language would be an asset, but not necessary.
  • Culturally sensitive to the Nation’s language, traditions and faiths.

Qualifications:

Mandatory: Criminal Reference and Vulnerable Sector Checks, Drivers Abstract

  • Administrative Certification with several years’ experience in a related field.
  • Proven experience in an administrative, secretarial, and executive support.
  • Strong knowledge of office administration, documentation, and records management.
  • Excellent written and verbal communication skills.
  • Strong organizational skills and attention to detail.
  • Proficiency in MS Office/Google Workspace (Word, Excel, PowerPoint, Outlook/Gmail).
  • Ability to handle confidential information professionally, work independently and manage multiple priorities.
